Position Description
The Finance & HR Assistant will work closely with our Chief Operating Officer to support the organization’s finance and human resources functions. This role is essential in enhancing staff engagement, assisting with HR processes, and ensuring compliance with employment regulations. By providing relevant and timely administrative support, the Finance & HR Assistant will contribute to the smooth and efficient functioning of our organization.
Responsibilities
- Expense Tracking: Monitor and categorize organizational expenses, aligning with budget allocations.
- Document Management: Organize and manage HR and financial documents, both digitally and physically as required.
- Payroll Assistance: Support payroll processes by coordinating time-tracking and some data-entry.
- Recruitment Assistance: Coordinate job postings, review applications, and arrange interviews.
- Policy & Compliance Support: Assist the COO in implementing and monitoring HR and finance policies, ensuring compliance with organizational standards and legal requirements
- Onboarding & Offboarding: Prepare new hire paperwork, assist in employee orientation, and manage exit paperwork and processes.
- Benefits Coordination: Assist with benefits portal administration, including employee enrollment, renewals, and inquiries.
- HR Record-Keeping: Digitize existing records, support the maintenance and organization of ecure HR files, including personnel records, payroll data, and compliance documents.
- Meeting Coordination: Schedule meetings, prepare agendas, and take minutes, ensuring follow-up on action items.
- Other duties as assigned
Requirements
- Related post-secondary diploma in Accounting / Business, Human Resources, organizational development or a related field (or equivalent experience).
- Previous experience within the nonprofit sector is highly preferred.
- Familiarity with nonprofit policies, regulations, and funding mechanisms.
- Strong interpersonal and communication skills, with the ability to interact effectively with diverse populations.
- Demonstrated ability to handle sensitive information with discretion and confidentiality.
- Problem-solving attitude with a proactive approach to addressing HR challenges.
- Proficient in HR software and tools; experience with applicant tracking systems and performance management software is a plus.
- Knowledge of labor laws and regulations applicable to nonprofit organizations.
Wage
$21.00 - $22.50 an hour based on experience, plus 4% vacation
Term
Permanent, part-time starting at 20 hours per week, 3-month probation.
Hours
Flexible hours of work Monday to Friday for a total of 20 hours per week (limited evening / weekend) with potential to increase to full-time hours in the future.
Location
This position is hybrid between working remote with some in-person responsibilities, some travel may be required. Currently Lionhearts operates in Kingston, Ottawa and London, ON.
